PROs vs. Publishing Administrators: The Big Confusion

"I don't need a publisher, I'm with ASCAP!"

If we had a nickel for every time we heard this, we could fund a major label. This is the single most common misconception in the independent music industry, and it costs artists millions of dollars every year.

Let's clear the air once and for all.

What is a PRO? (ASCAP, BMI, SESAC)

A Performing Rights Organization tracks one thing: Public Performance.

When your song is played on the radio, in a restaurant, or on TV, they collect the money.

What they DO: ✅ Collect Performance Royalties (Writer's Share + Publisher's Share). ✅ Pay the Writer's Share directly to you.

What they DO NOT do: ❌ Collect Mechanical Royalties (Streaming reproduction). ❌ Collect Sync fees. ❌ Register your songs globally (in every country). ❌ Collect YouTube micro-syncs.

What is a Publishing Administrator? (Songtrust, Sentric, CD Baby Pro)

A Pub Admin is a service that acts as your "Publisher" worldwide. You keep 100% of your ownership, but they take a small fee (usually 15-20%) to effectively "chase down" your money from every corner of the earth.

What they DO: ✅ Register your songs with PROs in 100+ countries (not just your home country). ✅ Register you with The MLC to collect Mechanical Royalties. ✅ Register you with YouTube Content ID for publishing. ✅ Audit royalty statements for missing income.

The "Black Box" of Royalties

If you are only registered with ASCAP or BMI, you are collecting your Performance Royalties, but your Mechanical Royalties (from Spotify/Apple streams) are sitting at The MLC or foreign societies.

After a certain period (usually 2-3 years), this unclaimed money enters the "Black Box" and is distributed to major publishers based on market share.

Yes, you read that right. If you don't claim your mechanicals, they eventually go to Drake and Taylor Swift's publishers.

The Winning Setup

To have a "bulletproof" royalty collection setup in 2026, you generally need:

  1. Direct PRO Membership: Join ASCAP or BMI as a writer to get your writers' share fast.
  2. Publishing Administrator: Sign up for a service like Songtrust or TuneCore Publishing. They will collect the "Publisher's Share" of performance, plus ALL mechanicals, worldwide.

Do not assume your distributor (DistroKid/UnitedMasters) is doing this. Unless you specifically opted into their "Publishing" add-on, they are only collecting Master Revenue, not Publishing Revenue.

Conclusion

Being a DIY musician means being a business owner. Understanding the difference between a PRO and an Administrator is the difference between running a lemonade stand and running a corporation.
